Terms of Service

These terms and conditions govern your enrollment and participation in SciEningio English language courses. Please read them carefully before enrolling.

1. Agreement Acceptance

By enrolling in any course, using our services, or accessing our facilities, you agree to be bound by these Terms of Service, our Privacy Policy, and any additional course-specific requirements. If you do not agree to these terms, please do not enroll in our courses or use our services.

These terms constitute a legally binding agreement between you (the "Student") and SciEningio Pty Ltd (the "School," "we," "us," or "our").

2. Course Enrollment and Fees

2.1 Enrollment Process

  • All students must complete the enrollment process and provide accurate information
  • Course placement may require completion of an English level assessment
  • Enrollment is subject to course availability and acceptance by the School
  • International students must provide valid visa documentation
  • Students under 18 require parental or guardian consent

2.2 Course Fees and Payment

  • All fees must be paid before or on the course start date unless a payment plan is arranged
  • Fees are quoted in Australian Dollars (AUD) and include GST where applicable
  • Payment methods include cash, bank transfer, credit card, and approved payment plans
  • Late payment fees may apply for overdue accounts
  • All fees are non-transferable between students

2.3 Additional Costs

Course fees include tuition, materials, and certificates. Additional costs may include:

  • Examination fees (IELTS, Cambridge, etc.)
  • Replacement materials or certificates
  • Special events or excursions
  • Accommodation assistance services

3. Refund and Cancellation Policy

3.1 Cooling-Off Period

Students have a 14-day cooling-off period from the date of enrollment during which they may cancel and receive a full refund, provided the course has not commenced.

3.2 Student-Initiated Cancellations

  • Before course commencement: Full refund minus $100 administration fee
  • Within first week: 75% refund of remaining course fees
  • Within first month: 50% refund of remaining course fees
  • After one month: No refund available

3.3 School-Initiated Cancellations

If we cancel a course due to insufficient enrollment or other reasons beyond student control, we will:

  • Offer an alternative course at the same level
  • Provide a different start date for the same course
  • Offer a full refund if alternatives are unsuitable

3.4 Refund Processing

  • Refund requests must be submitted in writing
  • Processing time is typically 14-21 business days
  • Refunds will be made to the original payment method
  • International transfer fees may be deducted from refunds

4. Student Responsibilities and Code of Conduct

4.1 Academic Responsibilities

  • Attend classes regularly and punctually (minimum 80% attendance required)
  • Complete all assignments and assessments as required
  • Participate actively and respectfully in class activities
  • Inform the School of any circumstances affecting your studies
  • Maintain academic integrity and avoid plagiarism

4.2 Behavioral Expectations

  • Treat all staff, fellow students, and visitors with respect
  • Maintain appropriate language and behavior on campus
  • Respect cultural diversity and individual differences
  • Follow all health and safety guidelines
  • Comply with Australian laws and regulations

4.3 Technology and Facilities

  • Use School facilities and equipment responsibly
  • Follow IT policies and acceptable use guidelines
  • Report any damage or technical issues promptly
  • Respect intellectual property rights
  • Maintain confidentiality of other students' information

5. School Responsibilities and Services

5.1 Educational Services

We commit to providing:

  • High-quality English language instruction
  • Qualified and experienced teachers
  • Appropriate learning materials and resources
  • Regular progress assessments and feedback
  • Certificates upon successful course completion

5.2 Student Support Services

  • Academic counseling and learning support
  • Assistance with course selection and planning
  • Information about further study and career options
  • Basic welfare and accommodation guidance
  • Emergency contact procedures

5.3 Facilities and Environment

  • Safe and conducive learning environment
  • Modern classrooms and technology
  • Library and study areas
  • Student lounge and kitchen facilities
  • Disability access where reasonably possible

6. Attendance and Academic Progress

6.1 Attendance Requirements

  • Minimum 80% attendance required for course completion
  • Attendance is monitored and recorded daily
  • Unexplained absences may result in academic intervention
  • Medical certificates required for extended illness absences
  • International students must maintain visa attendance requirements

6.2 Academic Progress Monitoring

  • Regular assessments to monitor student progress
  • Individual feedback and support for struggling students
  • Additional support classes available when needed
  • Course changes may be recommended based on progress
  • Certificates awarded based on satisfactory completion

7. Disciplinary Actions and Termination

7.1 Minor Infractions

First response to minor behavioral or academic issues:

  • Verbal warning and counseling
  • Written warning placed on student file
  • Additional support or intervention meetings
  • Behavioral contract if necessary

7.2 Serious Violations

The following may result in immediate suspension or expulsion:

  • Violence, harassment, or discriminatory behavior
  • Illegal activities on or off campus
  • Academic dishonesty or cheating
  • Persistent disruptive behavior
  • Violation of visa conditions

7.3 Termination Process

  • Students have the right to respond to allegations
  • Fair and impartial investigation of incidents
  • Appeal process available for disciplinary decisions
  • No refunds for disciplinary terminations
  • Appropriate authorities notified when required

8. Intellectual Property and Materials

8.1 School Materials

  • All course materials are the intellectual property of SciEningio
  • Students may use materials for personal study purposes only
  • Reproduction or distribution of materials is prohibited
  • Materials must be returned if course is cancelled
  • Digital materials access expires after course completion

8.2 Student Work

  • Students retain ownership of their original work
  • School may use student work for educational purposes with consent
  • Testimonials and feedback may be used for marketing
  • Photos and videos require explicit written consent
  • Students must respect copyright in their assignments

9. Privacy and Confidentiality

Student privacy is protected under our Privacy Policy, which includes:

  • Secure storage and handling of personal information
  • Controlled access to student records
  • Confidentiality of academic and personal information
  • Rights to access and correct personal information
  • Transparent data sharing policies

10. Health and Safety

10.1 Campus Safety

  • Students must follow all health and safety procedures
  • Report any hazards or incidents immediately
  • Participate in emergency drills and procedures
  • Follow COVID-19 and health guidelines as required
  • Maintain personal and campus cleanliness standards

10.2 Medical and Emergency Information

  • Provide emergency contact information
  • Inform us of any medical conditions affecting studies
  • Maintain appropriate health insurance coverage
  • Follow first aid and emergency procedures
  • Report any incidents or injuries promptly

11. Limitation of Liability

11.1 School Liability

Our liability is limited to:

  • Providing the educational services as described
  • Maintaining reasonable care in service delivery
  • Refunds as specified in our refund policy
  • Compliance with applicable consumer protection laws

11.2 Exclusions

We are not liable for:

  • Indirect or consequential damages
  • Loss of income or future opportunities
  • Accommodation or living arrangement issues
  • Visa refusal or immigration problems
  • Personal injury due to student negligence
  • Loss or damage to personal property

12. Complaints and Disputes

12.1 Internal Complaints Process

  1. Discuss the issue informally with your teacher or student services
  2. Submit a formal written complaint to management
  3. Investigation and response within 10 working days
  4. Appeal process if unsatisfied with initial response
  5. Final internal review by senior management

12.2 External Resolution

If internal resolution is unsuccessful, students may contact:

  • Australian Skills Quality Authority (ASQA)
  • Overseas Students Ombudsman (for international students)
  • Consumer affairs departments
  • Relevant professional associations

13. Changes to Terms

We may update these terms from time to time to reflect:

  • Changes in educational regulations
  • Updates to our services or policies
  • Legal or regulatory requirements
  • Feedback from students and stakeholders

Significant changes will be communicated to current students via email and posted on our website. Continued enrollment constitutes acceptance of updated terms.

14. Governing Law and Jurisdiction

These terms are governed by the laws of Victoria, Australia. Any disputes will be subject to the exclusive jurisdiction of Victorian courts. For international students, this agreement is subject to Australian consumer protection laws and educational regulations.
